Front Office Admin / Patient Care Coordinator: About the Role At Westheimer Lakes Dental, you are not just answering phones. You help drive the patient experience, support schedule performance, and keep the office running smoothly from first contact through treatment completion. This role is primarily front office focused. However, candidates with dental assisting experience or an active DA/RDA license who are comfortable helping clinically when needed are strongly encouraged to apply. What You’ll Own: Schedule Performance: Keep provider schedules full, including same-day and short-call fills Reduce cancellations and no-shows Maintain strong confirmation rates Patient Conversion: Turn inbound calls into booked appointments Convert diagnosed treatment into scheduled visits Follow up consistently on unscheduled treatment Treatment Plan & Financial Coordination Present treatment plans and explain recommended treatment to patients Review treatment costs, insurance estimates, and payment options Help patients understand financing and payment arrangements Support case acceptance and scheduling of diagnosed treatment Revenue Support Collect payments and manage patient balances Help drive office production and collections Monitor unscheduled treatment opportunities Front Office Operations: Manage daily front desk flow Manage Open Dental scheduling and patient records Keep communication tight across the clinical and admin teams Clinical Support (Optional / Bonus Skillset) Candidates with dental assisting experience or an active DA/RDA license may also: Assist with room turnover and clinical flow Support providers during busy periods Help improve communication between front and back office teams Clinical support experience is a plus, but not required for this role. Key Metrics You’ll Be Measured On Schedule utilization Case acceptance Unscheduled treatment follow-up Daily collections vs. production Call-to-appointment conversion rate What We’re Looking For 1+ years of dental front office, treatment coordinator, or dental office experience Understanding of PPO insurance, treatment planning, and patient financing Confidence discussing treatment costs and financial arrangements with patients Proven ability to fill schedules and support production Confident communication skills by phone and in person Organized, fast, and detail-focused Bonus Qualifications (Not Required) Dental assisting experience Active DA or RDA license Experience supporting both front and back office operations Ideal Candidate You: Take ownership/initiative without being told Follow up on pending items through completion Are comfortable discussing treatment and financials with patients Like improving systems and hitting targets Work well in a fast-paced team environment Compensation Competitive hourly base, based on experience Performance bonus tied to: Schedule utilization Case acceptance Office production Schedule: Part-time or full-time 2–4 days per week Specific days based on office schedule Why This Role Growing practice with room to grow into a Lead Coordinator or Office Manager role Direct impact on practice growth and patient experience Clear expectations and measurable results Opportunity to work closely with leadership in a growing PPO-focused practice
