Summary Elevate Dentistry, a brand-new, state-of-the-art dental practice opening in February 2025 in the heart of Houston, Texas, is seeking a highly motivated and experienced Office Manager to join our founding team. As the Elevate Dentistry’s Office Manager, you will play a crucial role in establishing and ensuring the smooth and efficient operation of our practice. You will be responsible for overseeing daily administrative and operational functions, managing staff, and ensuring a positive patient experience.This position is ideal for someone who is passionate about dentistry, enjoys working in a fast-paced environment, and possesses exceptional leadership and organizational skills. With an independent work ethic and proven interpersonal approach, the Office Manager enjoys the challenge of working with a dynamic and growing organization -- with different and at-times conflicting priorities, and business needs. Specific areas of responsibility include patient relations and customer service; overseeing administrative staff and daily operations; managing patient scheduling and records; coordinating billing and insurance processing; and ensuring compliance with all relevant regulations. This individual will exemplify exceptional leadership and serve as the cornerstone of our practice's success. While not mandatory, an Associate’s or Bachelor’s degree in Business Administration, Healthcare Management, or a related field is preferred Experience: At least three (3) years of experience as an Office Manager or in a similar role in a dental office or healthcare organization. Knowledge: Must be proficient in Microsoft Office Suite and have experience with dental practice management software, insurance billing procedures, HIPAA regulations, and general office management practices. Working knowledge of Texas dental regulations. Prior experience in dental office management are highly valued. Skills: Must be detail-oriented, highly organized, and able to multitask effectively. Must be responsive, accessible, self-motivated, and able to work well with patients, internal team members, and external points of contact. Must demonstrate strong communication skills, problem solving skills, with the ability to present ideas and recommend appropriate courses of action. Must have demonstrated success in positions that require professionalism and handling sensitive/confidential information. Specific Position Duties Patient Relations and Customer Service Greet patients in a friendly and professional manner. Answer phones, respond to patient inquiries, and schedule appointments. Manage patient records and ensure their confidentiality. Address patient concerns and complaints in a timely and effective manner. Administrative Staff and Operations Supervise and train administrative staff members. Oversee daily operations of the practice, including opening and closing procedures. Manage inventory of office supplies and equipment. Maintain a clean and organized office environment. Patient Scheduling and Records Coordinate patient schedules and ensure efficient patient flow. Maintain accurate and up-to-date patient records. Manage patient recall and follow-up systems. Billing and Insurance Processing Oversee billing procedures and ensure timely submission of claims. Coordinate with insurance companies to resolve billing issues. Manage patient accounts and collections. Compliance Ensure compliance with all relevant regulations, including HIPAA and OSHA. Maintain patient confidentiality and data security.
